AI for wedding venue inquiries: which setup makes sense?

Most venues should start with saved replies and whatever AI or automation is already built into their venue software. A custom setup is worth it when inquiries come from several places and every reply has to match your calendar and packages.

Inquiries tend to ask the same few things: is the date open, will the guest count fit, what does it cost, and can we come and see it. The hard part is answering quickly on a Saturday night without quoting last year’s package or offering a date that’s already on hold.

The options

Option Rough cost Works well when Watch out for
Saved replies in Gmail or Outlook Free with the email you already have A handful of inquiries a week, all in one inbox Someone still reads each one, picks a reply and fills in the details
A general AI chat tool, like ChatGPT Free to try You want help wording replies It doesn’t know your calendar or prices unless you paste them in every time
AI or automation in your venue software HoneyBook: from $29 a month, billed yearly. Perfect Venue Professional: $199 a month per location, billed yearly. Tripleseat: from $375 a month per venue. You already run proposals, contracts and payments there You work its way, and what’s built in varies by product and plan, so check yours
A reply service built for venues VenueReply: $99 a month for one venue A short list of fixed packages, and you’re happy for replies to go out on their own Replies send automatically by default. Switch on approval if you want to see them first
A custom draft-and-review setup $1,500 to build with us, plus the tools’ monthly cost Inquiries arrive from several places, prices depend on date and guest count, and you want to approve every reply More upfront, and it’s built for your venue only

When a cheap tool is enough

If you run one venue with a short package list, and most inquiries come by email or through The Knot and WeddingWire, try an off-the-shelf tool before paying for anything custom.

Check what you already have first. If HoneyBook or Perfect Venue is where you send proposals, its AI may do the job on the plan you’re on. If you want something that only handles replies, VenueReply is $99 a month and answers email, Instagram and text inquiries.

When a custom setup makes sense

  • Inquiries arrive through your website form, email, Instagram and the wedding sites, and nobody sees them all in one place.
  • Pricing depends on the date, the season, the guest count and the add-ons, so a template can’t answer it.
  • You already have software you like and don’t want to move everything to a new system.
  • You want a person to approve every reply, and anything unclear flagged for you to check.

A custom setup can read each inquiry, pull out the date, guest count and event type, check them against your calendar and package sheet, and draft a reply for someone to approve. Our home page has a small version with made-up inquiries, including one with no date and a fuzzy group size, which gets flagged for a person to check.

Before you let any tool reply for you

  • Dates: “the date looks open” should never read like a confirmed booking.
  • Prices: replies should quote only from your current price sheet.
  • Hand-offs: discounts, complaints and contract questions go to a person.
  • Missing details: no date, or “about 120, maybe 150”? The reply should ask the couple to confirm.
